The Office Administrator is based in Piti-Guam and reports directly to the Terminal Manager. This role keeps our office running smoothly and supports the management teams for Guam & Saipan administratively.

Here’s what you’ll get to do:

  • Plan the logistics of the meetings. Encourage team event management and planning,

(including training, retreats, offsites, etc.)

  • In charge of handling mail, incoming and outgoing, FedEx and UPS shipment, and

interoffice mail. arranging and allocating things to the right people.

  • Perform research, write notes, and take meeting minutes.
  • Create and edit documents using Word, Excel, and PowerPoint, such as reports,

presentations, and letters.

  • Timely and compliant with business rules, prepares monthly cost reports.
  • To meet company objectives, look for methods to streamline and enhance work

procedures.

  • Carry out extra tasks and unique projects as given.
  • Process Accounts Receivable.
  • Process and pay invoices.
  • Create purchase orders (PO’s)
  • Create and send out daily reports.
  • Point out any unsafe behavior you come across.
  • Other duties assigned.

Experience and Skills :

  • Either a GED or a high school diploma is required.
  • A business administration bachelor's degree or equivalent is preferred.
  • Three or more years of experience supporting high management levels administratively.
  • Strong familiarity with Microsoft Office applications (Teams, Word, Excel, and PowerPoint, and others).
  • Ability to prioritize work in a setting where deadlines and time constraints are constantly shifting.
  • Capacity to follow instructions, use judgment, function autonomously, and consider the

needs of others.

  • Excellent organizing abilities and the capacity to function independently in a hectic

setting.

  • Excellent verbal and written communication skills.
  • Trustworthy and dependable.
  • Capacity and readiness to put in more time at work when necessary, during busy times.
  • Strong ability to solve problems and make decisions.
  • Ability to create and keep good relationships with customers and vendors.

Physical Requirements:

  • Much of the work is done in an office environment, while there may be times when it

calls for the person to visit other locations.

  • Must occasionally be able to lift 25 pounds.
  • Needs to be physically present in the office Monday through Friday for the entire workday.
