Summary:

Performs general secretarial duties to include processing mail, ordering and maintaining supplies, typing, filing, photocopying, faxing, coordinating meetings, and transcribing minutes. Serves as receptionist to the department. Provides exceptional professional and courteous service to all internal and external customers. Assist in maintaining the daily operation of the Department. Assist in data analysis and report trends to management as needed. Works with little supervision with ability to use critical thinking skills and utilize own judgment in making decisions. Other duties as assigned.

Responsibilities:

  • Associate demonstrates competence in the performance of office duties and responsibilities related to Spiritual Care
  • Answers telephone in a courteous manner by identifying self to staff and visiting clergy in a caring manner prepares daily a list of all new patients and floor census for the chaplains Prepares Communion list for Eucharistic Ministers and maintains a system of communication with them enters into computer information about communion given by Eucharistic Ministers
  • Welcomes and assists all visiting clergy and prepares religion census for them
  • Maintains confidentiality of all patients
  • Prepares spiritual care brochures and maintains adequate supply
  • Other secretarial work
  • Maintains records of Sacramental ministry (Baptism, Confirmation etc.) and sends information for recording in the parish register
  • Obtains mail from the mail room and distributes to associates and maintains confidentiality of mail
  • Orders supplies such as Care Notes, office supplies, and any other supplies as needed as good steward
  • Maintains departmental records and various reports
  • Does any other secretarial work as needed
  • Participation in meetings and maintenance of records
  • Notifies chaplains date of departmental meetings and other hospital meetings
  • Prepares agenda and materials for department meetings in consultation with Sp
  • Care manager
  • Prepares minutes of department meetings
  • Attends educational meetings, personal development seminars and workshops offered by the hospital as required
  • Knowledgeable about departmental policies and procedures, and policies on safety, fire, disaster, infection control etc.
  • Responsibility for chapel, Mass, and prayer service
  • Orders in a timely manner supplies for the chapel such as wine, hosts, , lectionary, candles, etc.
  • and ensures adequate supplies are present
  • Materials such as prayers of the faithful, prayer service, and other materials for the chapel as needed
  • Enters Mass intentions in the Mass calendar kept in the sacristy

Requirements:

  • High School Diploma
