Summary:

Leave Management Specialist II: Under the direction of the Leave Management Manager/Director of HR Operations, the Leave Management Specialist II serves as a specialist position within the leave team and acts as a disability/leave liaison between CHRISTUS Associates, including Management, Human Resources, and the third-party administrator. Maintains documents, facilitates administrative processes and procedures, and provides education where necessary to ensure adherence to established leave benefit plans, company policies, procedures, and applicable state and federal laws related to leave. Provides essential information to the third-party administrator for processing requests related to STD, LTD, WC, FMLA, Military, paid and unpaid Leaves of Absence.

Responsibilities:

  • Meets expectations of the applicable OneCHRISTUS Competencies: Leader of Self, Leader of Others, or Leader of Leaders.
  • Serves as primary contact/liaison for Associates, including management, Human Resources, and the third-party administrator.
  • Provide information to the third-party administrator regarding work schedule and other relevant Associate information necessary for processing leave requests.
  • Partners closely with HR Business Partners on leave cases and provides guidance within the policy and established legal guidelines.
  • Communicates and corresponds with HR Business Partners, managers, and the third-party administrator regarding leave processes and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Workers’ Compensation) and paid/unpaid leaves of absence.
  • Communicates and corresponds with Associates concerning leave processes, leave benefits, medical certification requirements, return-to-work dates, etc.
  • Provide the vendor with medical and leave information to maintain HIPAA and Employee Privacy guidelines.
  • Provide training webinars to managers for Leave procedures.
  • Validates third-party administrator inquiries related to Associate service hours worked and years of service to establish FMLA eligibility.
  • Resolves leave questions, issues, and escalations from HR Shared Services.
  • Research historical leave data issues and provides updates as appropriate.
  • Manages weekly reports to ensure timely and accurate updates to Associate statuses and records.
  • Assists HR Business Partners and managers in evaluating and responding to requests for reasonable accommodations.
  • Partners with HR Business Partners regarding employment decisions when approved leave time is exhausted or ending according to company policy.
  • Serves as liaison between CHRISTUS Associates, Human Resources, Payroll, and the third-party administrator.
  • Serves as primary contact for the third-party administrator and coordinates short-term disability advice to pay reporting with regions.
  • Provide necessary information to the third-party administrator regarding payroll, worked hours, and other relevant Associate information for processing disability claims.
  • Communicates and corresponds with HR Business Partners, managers, and third-party administrators regarding STD payments, processes, and policy.
  • Communicate with Associates, Human Resources, management, and the third-party administrator concerning STD claim payment resolution.
  • Submits inquiries to the third-party administrator regarding claim statuses to ensure timely payment of STD recipients.
  • Review and validate the accuracy of pay reports.
  • Review timesheets in INFOR for STD recipients to ensure the time entered in INFOR does not coincide with approval dates provided by the third-party administrator for STD payments.
  • Must have the ability to focus as demonstrated through administrative efficiency.
  • Must have the ability to galvanize and induce team collaboration.
  • Must have strong communication skills to build sustainable working relationships throughout the organization.
  • Must be able to present ideas and recommend solutions.

  • Must have strong administrative abilities, problem-solving, and judgment skills.
  • Performs other operational duties and assignments as directed.

Requirements:

  • Bachelor’s Degree or equivalent experience in employee benefits, disability, FMLA, and administration.
  • 3+ years of prior relevant experience with a concentration on Disability, FMLA, and Leave of Absence concepts required.
  • Knowledge of FMLA regulations.
  • Knowledge of ADA and Reasonable Accommodation.
  • Proficient in Microsoft Office and other computer applications.
  • Possess or obtain Leave and Disability Certification.
